Using Carmen

Publish your CarmenCanvas course if you have not already done so, and use Carmen as a class hub for instructions and communications with your students. Review this video introduction for setting up your Carmen course.

Once your course is published, continue building by focusing on three essential areas. Revise your syllabus and be sure it is uploaded in the Syllabus section of your course. Be sure all course materials are available and organized logically in Modules. Organize and update your gradebook, and be sure to regularly post grades for assignments and assessments. Posting Zoom session recordings to Carmen

Using the correct license for Zoom

Students should be instructed to log in to CarmenZoom.osu.edu to use the Zoom application for online learning. This will ensure that the Zoom account is associated with Ohio State's license. Failure to use Ohio State's license may result in sessions being disconnected after a certain amount of time.

If your Zoom account profile does not state that your account type is 'Education' or if you are getting disconnected after 40 minutes on Zoom sessions, the following steps can be taken to make sure that your account is associated with the Ohio State Zoom license.

  1. Log out of the Zoom desktop client 
  2. Open an incognito window in your web browser (In Chrome, this is in the File menu.) 
  3. Navigate to  https://carmenzoom.osu.edu 
  4. Click Sign In and log in with your Ohio State credentials (please use name.number@osu.edu, NOT the name.number@buckeyemail.osu.edu login name). This login requirement also applies the same way if you are using the installed Zoom app, and are signing in using "SSO".
  5. You will be asked if you want to switch to Ohio State’s license. Click yes to this and any subsequent agreements.
     

How to record and export attendance in Zoom meetings

1. Log into CarmenZoom at https://osu.zoom.us/

2. Go to Reports on the left side bar.

5. Find the meeting that you would like to get attendance data from and click on Participants

6. From this window, click EXPORT and it will download a CSV files of all participants as well as how long they were attending the meeting and login times.

Using a Virtual Background with Zoom

Use Zoom's built in Virtual Background feature to hide a busy background. (Note: Virtual Backgrounds are only available when presenting with a camera.)

Connecting with phone: Zoom Service Status

Due to increased usage, Zoom may run into capacity issues when connecting with a phone. If that happens, connect to a computer if possible. Zoom has set up a web page to monitor their service status: https://status.zoom.us/.

Top 5 tips for online teaching

  1. Increase recording processing speeds in Zoom by recording locally
    • Use the “record locally” option in Zoom, which will save the files to a folder you specify. This eliminates the long processing times we’ve been seeing from the Zoom Cloud (Zoom Help Center article).
    • Note: Recording locally eliminates the automatic transcript feature hosted by Zoom; therefore, this is not a good option if you need that transcription service.
    • To disseminate the recording to students, first upload it to Mediasite, then embed the video into a CarmenCanvas course.
       
  2. Zoom Live Class Microphone Tip (Zoom Help Center article)
    • Ask everyone to mute their microphones (or as the host click “mute all”).
    • Press and hold the space bar on the keyboard to temporarily unmute to speak in a Zoom meeting.
       
  3. Changing Time Zones in CarmenCanvas (https://carmen.osu.edu/)
    • For students who have moved into a different time zone, they can update their local time zone settings within CarmenCanvas (Canvas help document).
    • This will automatically update the due dates from Eastern Time to their local time (i.e. Due time of 5pm Eastern will display as 4pm Central).
       
  4. CarmenCanvas Upload Limits (https://carmen.osu.edu/)
    • To avoid maxing out CarmenCanvas data upload limits, instructors should upload their videos to Mediasite, then embed them into the Canvas course.
       
  5. Mediasite desktop recording (http://mediasite.osu.edu/)
    • Mediasite is a fantastic desktop recorder; however, it will not work with iOS Catalina. If you are running Catalina, Zoom is recommended.
    • If instructors have many recordings, they can create a Mediasite Channel and share one link with students and tell them the title of the lecture. This eliminates the need to embed multiple recordings, but it can be more confusing for some students.
    • Double-check the Mediasite settings to ensure permissions are set to “everyone” and videos are “unlocked.”
    • Mediasite uses a higher video quality than Zoom.

Types of Canvas Quizzes

  • Graded Quiz 
    • The most common quiz type within Canvas 
    • Automatically creates a column in the gradebook 
    • Used for quizzes, tests, midterms, final exams, etc. 
  • Practice Quiz 
    • Ungraded and will not create a column in the gradebook. 
    • Students will receive quiz results but they must be viewed via the submission details page. 
  • Graded Survey 
    • Allows instructor to give students points for completing the survey but is not a quiz (i.e. no right or wrong answers). 
    • A column in the gradebook can be created. 
    • Option for anonymous setting, if desired. 
  • Ungraded Survey 
    • Primarily used to obtain data on opinions or other non-graded information from students. 
    • Option for anonymous setting, if desired.

  • Shuffle Answers 
    • Enables the randomizing of answers. 
      • Note: To shuffle questions, you will need to create a question group within the “Questions” section of the quiz. 
  • Time Limit 
    • The time limit starts counting down once a student begins the quiz. 
    • Time limits do not pause if a student navigates away from the quiz. 
    • If no time limit is entered, the system defaults to “unlimited” time to complete. 
      • Note: A timed quiz will automatically submit after a student loses internet connectivity or if time runs out. 
  • Multiple Attempts 
    • The default is 1 attempt, but instructors can set a specific number or allow unlimited attempts. 
    • If allowing multiple attempts, instructor will need to choose which quiz score to automatically enter into the gradebook: highest, latest, or average score. 
  • Quiz Responses 
    • Option to allow students to view their answers and/or receive automatic feedback inputted by the instructor when setting up the quiz questions. 
      • Note: The default is for students to see their own quiz responses. You must uncheck the box to disallow this. 
  • Correct Answers 
    • Option for allowing students to see correct quiz answers after submitting their quiz. 
      • Note: The default is for student to see the correct answers. You must uncheck the box to disallow this. 
  • One Question at a Time 
    • Option for only showing one question at a time  
    • There is also an option to lock questions after answering. This will prevent students from being able to go back and change their answers. 
      • Note: This option is not recommended for use with Proctorio. 
  • Quiz Restrictions 
    • By default, restrictions are not enabled; therefore, the instructor must select them when setting up the quiz. 
    • Require an access code prompts students to enter a code before the quiz will begin. 
    • Filter IP Addresses require students to take a quiz from a specific computer lab (not recommended with remote learning). 
  • Assign to 
    • By default, the quiz will be assigned to everyone within a course. 
    • Useful if one or more students are taking a make-up quiz. 
  • Due Dates & Available Dates 
    • The due date is when the quiz is due.  
    • The available date(s) is a range of time the quiz will be available to students. 
      • Note: If the available until date is set after the due date, students will still be able to take the quiz.

Annotation based instruction from an iPad using Zoom and Notability or PowerPoint

If you teach primarily teach based on annotation, the best option for taking this instruction online is using an iPad with an Apple Pencil using Zoom and Notability or PowerPoint.

Using Zoom and Notability:

  1. Open Notability and create a new Note with the + at the top left.

  2. Open Zoom on the iPad and claim host.
  3. Front the top left More menu, select Record to the Cloud.

  4. From the top menu, select Share Content – Screen.

  5. This will bring up a menu.  Select Zoom for the Broadcast method and click Start Broadcast.

  6. Once the broadcast has started, you can now click the home button and return to Notability.
  7. Once inside the blank Notability note, select the pencil from the top menu bar and begin to draw or write.  You can also mix typing and drawing depending on what is most suitable. To erase, select the Eraser from the top and click any shape and it will disappear.
  8. If you want to save the work but create a fresh page, you can click the bottom arrow on the lower left in order to move down a page.
  9. Once done, return to Zoom app and click More from the menu and click the stop button.  This will prompt you to save the file. Then you can end the meeting in Zoom.

  10. You can find and download your recording on CarmenZoom from the left side menu under Recordings.

Using Zoom and PowerPoint

  1. Open Powerpoint on the iPad and start the presentation.

  2. Front the top left More menu, select Record to the Cloud.
  3. From the top menu, select Share Content – Screen.

  4. This will bring up a menu.  Select Zoom for the Broadcast method and click Start Broadcast.

    Once the broadcast has started, you can now click the home button and return to Powerpoint.
  5. With the Apple Pencil, you can now draw directly on any slide. You also have the ability from the menu at the top right to change color of pen, switch to highlight, or erase some or all marking on that slide.

  6. Once done, return to Zoom app and click More from the menu and click the stop button. This will prompt you to save the file. Then you can end the meeting in Zoom.

Adobe apps for students

  • Adobe has provided students licenses for Adobe Creative Cloud products to help address the loss of access to computer labs.
     
  • For instructors, as you plan around remote teaching, please keep in mind that some students will not have access to PCs appropriate to run the adobe software.  (System requirements are here: https://helpx.adobe.com/creative-cloud/system-requirements.html#Desktopapplications)
     
  • This license also unlocks some features and access for the iPad apps including access to Photoshop for the iPad. 
     
  • The software may be accessed by visiting https://creativecloud.adobe.com and following these steps:
    1. Select “Sign in with Adobe ID”.
    2. Select “Sign in with an Enterprise ID”.
    3. Enter your name.n@OSU.edu email address under “Email address or domain name”. Press done or tab on your keyboard or “tab” and the Ohio State Log-in page will load before you enter a password. If this does not happen because of mistyping your email address, close out of the process and start over.
    4. Log in with your Ohio State Username and Password.
    5. Authenticate your account with BuckeyePass (Duo).

Planning strategies for STEM labs and field activities

Examples: Lab sections, applied research, problem-based learning courses

Where to start

  • Postpone
    • Is timing of the lab activity crucial? Look at your content and materials availability to see if the schedule can be rearranged to accommodate lab activities at a later time.
       
  • Collaborate
    • Remember to communicate with your entire instructional team — GTAs, other section instructors, lab managers and the course lead should all be involved.
       
  • Adapt simple labs
    • For each lab activity, confirm the learning outcomes students must meet (analyze, or demonstrate, etc.) While you might not be able to recreate the entire experience at a distance, choose options that will still meet your outcomes.
    • Use video demonstrations to replicate the visual elements students would have experienced in class. There are online simulators and demonstrations available, or you can create these using CarmenZoom and a phone or webcam.
    • Create a Carmen quiz to show the video(s) and follow up with questions to check for understanding. Let students watch one step of the lab and then answer a prediction or knowledge check question before moving on to the next step in the following question. You can set your quiz to display questions one at a time.
    • Give students the data set you expected them to create in lab and ask them to answer analysis or explanation questions using quiz questions.

Large Class Size

For smaller groups, it may be more effort to organize groups for modified activities than to simply assign the modified activity as an individual assignment. Consider how much feedback is necessary when deciding to choose group or individual work.

Use the auto-assign option to quickly sort large numbers of students into manageable groups (but consider keeping existing groups). Use Carmen quizzes or assignments to capture participation quickly in electronic form. This keeps the work on task and allows you to assess and give feedback.
